HR Module (add-on)¶
Applies to: Both (Self-Hosted & SaaS) · License: requires the HR Module add-on (feature flag
hr) · Permissions: hr.view, hr.manage, hr.sensitive.view, facilities.manage
The HR Module turns Scalio Nexus into the authoritative HR system of record for the employee journey — joiners, movers and leavers — sitting alongside the directory lifecycle it already drives. When the add-on is unlicensed every HR endpoint returns 403 and the nav item is hidden.
Where to find it
The HR workspace: use the Identity / HR switch above the left menu (visible only when the add-on is licensed and you hold an HR role/permission). When HR is licensed, organisation management (companies, org chart, applications) moves into the HR workspace.
The HR menu: Add employee (Mitarbeitende erfassen) as the button at the top, then Overview, For me (Tasks, My onboardings, My team), Employees (Employees, Onboarding pipeline, Needs attention (Handlungsbedarf), Analytics), Organisation (Master data, Org chart, Inventory, Applications) and Administration (Activity log, Processes, Accounts and roles, Settings). Master data (Stammdaten) has one tab each for companies, departments, job titles (Stellen), managers (Vorgesetzte), locations and work profiles.
What it adds¶
| Area | Capability |
|---|---|
| Overview | Joiners & Leavers dashboard with views: New this month, On probation, Leaving soon, All active, Preboarding. |
| Employees | Authoritative HR records (joiners/movers/leavers) with employment type, cost centre, company/department, office & private addresses, and custom fields. |
| Processes | HR journeys/workflows — a visual flow of onboarding, preboarding, compliance and offboarding actions. |
| Tasks | Assignable HR tasks tied to a journey or employee. |
| My Team | A manager-scoped view of their own reports. |
| Analytics | HR metrics and reporting. |
| Inventory (Facilities) | Asset inventory with handovers and returns (gated by facilities.manage). |
| Preboarding | Pre-start invites and preboarding steps before day one. |
| Organisation | Master data (companies, departments, job titles, managers, locations, work profiles) and the org chart, managed inside the HR workspace. |
| Settings | Journey defaults (probation duration, employment types), custom employee fields, and a one-time import of existing directory users. |
| Accounts and roles | HR-scoped console access: assign HR / IT / Facilities roles per company (and optionally per department, which overrides company). |
| Activity log | HR-domain audit trail — companies, departments, managers, employees and imports. |
Records, statuses & employment types¶
- Statuses:
preboarding,active,onLeave,offboarding,left. - Employment types:
permanent, fixedTerm, contractor, intern, workingStudent. - Custom fields: admins define extra fields (text, multiline, number, yes/no, date/time, single- or multi-select) shown on the new/edit employee form.
Sensitive PII protection¶
HR records hold protected personal data (e.g. private address). Fields marked protected are masked
unless the viewer holds the hr.sensitive.view permission, keeping PII on a strict need-to-know basis.
HR-scoped roles¶
In addition to each user's global console role, HR introduces HR-domain roles (HR / IT / Facilities) that grant HR-domain permissions only, assignable per company and optionally per department. This lets you delegate HR operations without granting directory-wide rights.
One-time user import¶
On first use, the Import existing users action creates HR records for all visible directory users and links them automatically. This is a one-time bulk seed (you can exclude specific users before importing).
HRIS sync (roadmap)¶
The module includes an HRIS sync framework for external HR systems (e.g. Personio, Workday, SAP, Abacus). These connectors are awaiting vendor API credentials/specs and are not yet wired to live data.
API endpoints live under /api/hr* and enforce the hr add-on licence first, then the relevant HR
permission.
